October Business Meeting Minutes

Wednesday, October 11, 2006, at the Daily Grind, Salem , VA

Turvon: Apparently I can’t send out emails, so sorry about that. The only old business is the financial policy, which was given out as this draft, which we’ll discuss. Reminder: Unevent is in December, the first weekend. If you need to be there and can’t be, send a proxy.

 

Officer Reports

Their Excellencies. Angus. Come to War of the Wings. Nobody’s bribed us yet, so we can fight with whomever we want to. It should be fun. Aldemere and I have been talking about a mid-November work day: corner stakes for pavilion, day shades, etc. There’s a bunch of stuff anybody can do.

Chatelaine. Juliana: The demo that I had been telling people about at end of October has been cancelled. It was a Girl Scout thing and they didn’t have enough people. A couple of people contacted me about other demos, and I’ll post those as I have them. I now have email, so I can respond. bdchatelaine@yahoo.com. It used to take me about 2 weeks to check email, but I now have access at home.

Chronicler. Aneira: Very exciting news: I now have a deputy, Magpie, and she’s already secured one article. We always welcome articles, artwork, whatever. Also, renewals will be coming up soon. Turvon’s already been the first to renew.

Knight Marshal. Antonio: We have a new marshal: Owein is now warranted. A bunch of people just need to take the class.

Angus: There will likely be a marshal class in Richmond some afternoon, and as soon as I know when it is, I’ll be happy to take a carful of people up there. Turvon: They also teach the refresher at Unevent.

Librarian. Anne: From last month to this month, we lent five pieces to three people. I’m planning to send a list of material to the new webminister to post. There is now a 2-week loan period. If I have difficulty retrieving materials, I’ll let the seneschal know. The library is here as a research resource for whole barony. Right now, it’s heavy on articles and not so much on books. If you know of a book we should have, email it to me and I’ll put in a request for funds.

Juliana: How many copies of the Knowne World Handbook do we have?

Anne: None.

Juliana: I’ll be ordering 2 copies for the chatelaine’s office.

MOAS. Turvon: I have her report. People who are unable to come to Blacksburg are encouraged to get together and work out the best time to meet so we can have teachers and a schedule of classes online. If you want to teach in Blacksburg , let her know. Database is finished and she’ll be contacting people soon. This Sunday is herbalism, taught at my apartment. Followed by a movie. 22nd is a weaving class. 29th is open.

MOL. Edmund: Owein’s warrant is almost done being processed and he’ll take over soon.

Quartermaster. Juliana: If you have anything that belongs to the barony, get in touch with him (Aldemere) and make arrangements to get it to him. If you need anything, contact him at least a month in advance. For events, two months.

Angus: That includes loaner armor.  Even if it’s so he can see it and make sure it’s in good shape. Margaret, I gave him my inventory, and there’s stuff that walked even between the two.

Webminster. Mary: I’ve been busy updating minutes, officers, A&S pages, calendar, etc. Every web designer does things differently, and I’m thinking of doing a redesign, and I’ll be sending ideas out to the populace in the next few days for feedback.

Exchequer. Margaret: Bank balance is $3,548.11. Written since last month: 6 checks for Pennsic refunds and chronicler’s expenses. I would like to make public the reminder that the barony’s money belongs to barony and that anyone is always free to stop and look at the checkbook. If you want to learn the job, it’s always good to have a deputy. It is a job that does require some training.

 

Event Autocrats

Costumers Symposium. P.J.: It’s moved back to April 28 in Charlottesville at UVA. Should be in the November Acorn. If anybody wants to do a class, they’re looking for such things.

Ice Castles. Shrewlett: Juliana and I are proposing a bid. Date is slated for the third weekend in Feb., the 17. Sites: Boonesville Ruritan Club and Camp Cristy . They’ve got cabins and whatnot. I am as scared as a cat in roomful of dogs. I’ve not autocratted before but we’ve got good support staff. I also will be coming to other people for help. I will gladly take any insight if you’ve autocratted before. Call 7pm to 12 midnight. Do leave a message. If you want to help, come after meeting and tell me. Need lots of volunteers to help pre-event, day of event, etc.

Assessment. Turvon: I have been approached by one group of people who might be interested in autocratting. If we had multiple bids for Assessment, that would be awesome. Start looking at options.

 

Azurmont Seneschal. Turvon: I have the report. New seneschal is Soarcha. The next business meeting is next Tuesday, but after this month, business meetings will be second Tuesdays of the month. That’s all.

Lynchburg . P.J.: Our business meetings are the last Wednesday of each month. We had a newcomers meeting had about 7 people. Getting a bit of a crowd at our business meetings. A few things on our agenda: a column in E&E and working on heraldry. There will be a Persona 101 class in Lynchburg ; it might be in the library. We put our announcements in the central VA list. We can also put them on the barony list.

Blacksburg . Turvon: No one here.

Barony Seneschal. Turvon: Nothing to report.

 

Nastasiia: We will be at War of Wings. We have a baronial encampment. If you want to be part of it, let me know. Potluck food plan. That’s my announcement.

Edmund: Who are we siding with?

Nastasiia: I’ll make the decision.

Shrewlett: Talk with Ackbar. He has a mercenary plan.

Nastasiia: We haven’t gotten any bribes yet.

Herald. Aonghus: No activity. One thing to amend from minutes last month: I don’t care if you know how to pronounce your name correctly, just get me some pronunciation.

 

Old Business

Turvon: Financial policy.

Margaret: This draft is a first run through to get people talking. What I’d like to hear is do you see things you disagree with.

Turvon: You can take it home and review it.

Margaret: We’ll now talk about it on list.

Aneira: We can post it to the web.

Margaret: A final version of this will be printed in the E&E.

Anne: versions can be printed in both November and December issues to collect commentary along the way.

Magpie: Section 4.2, approved by six voting officers.

Margaret: That’s because it’s the intermediate or large category. We are required to have a policy for emergencies. If we have something like the pavilion, where we were within a week of the warranty. Magpie: Six?

Margaret: It only takes three for small expenses. There are nine officers who have individual votes. If you can’t get six, it doesn’t get passed. Section 6.4 is about who can be comped into an event.

Juliana: That’s about what is reasonable. Just about perfect.

Margaret: As a written thing, it has to specify positions.

Nastasiia: I like 6.7.
